Cancellation Policy
What happens if I need to cancel my entry?
If you can no longer attend the event, entries may be transferred to a later round in the same series by contacting james@southernxc.online at least 7 days before the event , please note that we are unable to carry over to next season so in the event that you can’t make round 5 then you will be refunded as per refund policy below.
If for any reason you need a refund for your entry then you can email james@southernxc.online , please note that all refunds issued have a £1 per rider / event charge to British Cycling deducted from the total due.
Unfortunately we cannot offer refunds for cancellations or transfer entries less than 7 days before the event date.
What happens if SouthernXC need to cancel an event?
Should SouthernXC need to cancel an event please be assured that we will have been forced to by circumstances outside of our control, examples of this are listed below, this list should not be considered exhaustive and is subject to review at any time;
- Adverse weather that could affect your safety
- A state of war
- An act of God
- Announcement by a sports Governing Body (BTF, UKA, BC, etc) cancelling such events
- Loss of the venue
- Announcement by the Government cancelling such events
If this should happen, we will always attempt to reschedule the event in the first instance and you will be offered a transfer to its revised date. If you are unable to attend the revised date you will be offered a transfer to another SouthernXC event of the same value, or if you want to enter a more expensive event, we will send you a link enabling you to pay the difference.
If we are unable to reschedule the event to a new date you will be offered a transfer to another SouthernXC event of the same value.
If you are unable to attend any of the offered events and would like to request a refund please contact us outlining all of the information and we will review the request with a view of refunding you as much of your entry fee as possible. Sadly, we cannot guarantee that 100% of your entry will be returned, however we will return to you what is available after any outstanding costs directly associated to your entry after non-cancellable commitments have been cared for, we will not profit from a cancelled event if any participant is out of pocket.
Please remember that we are unable to refund the British Cycling processing fee and for each entry we are charged £1 by British Cycling to issue a refund.
